GITEX, Gulfood, Arab Health, Big 5 β€” the GCC's exhibition calendar is dense, and "we need a stand" covers two genuinely different jobs: a reusable modular system you deploy every year, or a fully custom carpentry build for one specific booth design. Picking between them before you brief a designer saves a redesign later.

Modular vs. custom-built: the real decision

A modular stand is a reusable frame system β€” panels, lighting, and counters that assemble into different layouts and pack down for storage between shows. It costs less upfront, ships and rebuilds faster, and is the right default if you exhibit at multiple events a year or don't yet have a fixed design language for your booth.

A custom carpentry build is fabricated once for a specific brief: a particular footprint, branded walls, a bespoke reception counter, sometimes a raised platform or a meeting room within the stand. It costs more and needs a longer lead time, but it's the only route when the design brief genuinely can't be met by a modular kit β€” an unusual footprint, a double-height structure, or branding elements that need to be built rather than clipped on.

What's actually included in a stand package

A typical package covers the structure and branded panelling, a reception counter, basic lighting, and flooring where the venue requires it. Furniture, AV equipment, storage rooms, and anything beyond basic lighting are usually add-ons scoped to your specific stand size and budget β€” worth pricing explicitly rather than assuming they're included, since this is where quotes most often diverge.

Timeline: when to start

For a custom build, 4–6 weeks ahead of the show date is the safe minimum β€” that covers design sign-off, fabrication, and a dry-build/QC pass before the stand ships to the venue. Modular stands can move faster since there's no fabrication step, but artwork and branded panel printing still need their own lead time, so don't leave the graphics brief for the week before the show.

Delivery, on-site build, and breakdown/collection at the end of the show are coordinated around the venue's own build-up and tear-down schedule β€” confirm those slots with the organiser early, since a missed build-up window is one of the few problems that can't be fixed with extra budget on the day.

Beyond exhibitions: retail and office carpentry

The same carpentry capability that builds a booth also covers display counters, reception desks, branded retail fixtures, and general office joinery β€” not exclusively exhibition-specific work. If you're weighing a stand build against a longer-term retail fixture, it's worth asking whether the same fabrication run can serve both rather than treating them as separate projects.

What to send when you ask for a quote

Your stand footprint (or the shell-scheme dimensions the organiser has allocated), whether you need a modular or custom build, a rough idea of what goes inside it (counter, storage, meeting space), and your show date. That's enough for an initial costed range β€” final pricing follows design sign-off.
